We are seeking a highly motivated and organized planner to manage meetings & events for a variety of clients to consistent high standards. Act independently to make important decisions with minimal supervision. Work effectively in a fast-paced environment with multiple clients and competing deadlines. Elevate the comprehensive event experience, from planning through execution, by creating exceptional experiences and increasing customer ROI.
ESSENTIAL DUTIES, RESPONSIBILITIES, AND PERFORMANCE STANDARDS:
Manage all logistical components of the event planning process to include food & beverage, audio visual/production, speaker management, exhibitor and sponsor management, transportation, off-site events, team building activities, décor, print & collateral materials, entertainment and budgeting
Ensure we have a clear understanding of client needs/goals for the conference to determine appropriate arrangements for each individual event
Work closely with vendors to ensure a flawless experience for client and attendees alike
Utilize industry knowledge and experience to ensure our clients are benefiting from our services through positive ROI
Work within budget guidelines for accommodations & catering needs while still maintaining high standard and exceeding client expectations through industry knowledge/relationships & skillful negotiating
Continuing education within the events industry to stay current on trends
Manage vendor selection process from RFP through event execution
Responsible for all aspects of vendor selection and contracting on behalf of our clients
Ability to effectively negotiate vendor contracts through relationship building, industry connections and buying power
Collaborate with client/organizing committees to plan scope and format of events, to establish and monitor budgets, review administrative procedures and event progress
Represent Federal Conference in a professional manner in all client interactions
Use industry expertise and experience to provide our clients with suggestions and solutions to ensure the highest level of event execution
Follow Federal Conference guidelines to ensure tasks are completed in a timely manner and all steps are being followed.
Confer with and manage staff at a chosen event site to coordinate details
Hire, manage and train staff and volunteers at event locations to ensure the highest level of customer service is being provided.
Establish and cultivate relationships with the vendors to create a partnership and a team that will allow us to deliver a flawless program to our clients.
Bachelor’s degree in hospitality, hotel management, event planning and tourism or a related field
Knowledge of event/hotel industry terminology, services and regulations
Travel: Up to 35% domestic and international
Ability to life 25lbs from waistline, occasional.
Telecommuting is allowed.
